These Terms and Conditions (“Terms”) govern the chauffeur and private hire transport services provided by Elite Executives Travel (“we”, “us”, “our”) to you, the customer (“you”, “your”). By requesting a quote, making a booking, or using our services, you agree to these Terms.

All our chauffeurs hold a valid Private Hire Driver (PCO) licence and have passed an enhanced DBS background check. Our operations are conducted in line with applicable Transport for London (TfL) and local licensing requirements.
2. Definitions
- “Booking” means a confirmed request for transport services accepted by us.
- “Quote” means the price we provide for a requested journey before booking.
- “Chauffeur” means the licensed driver assigned to your journey.
- “Journey” means the transport service from the agreed pickup point to the agreed destination(s).
- “Pickup time” means the time stated in your booking confirmation.
3. Making a Booking
3.1 You can request a quote and make a booking through our website, by telephone, or by email.
3.2 A quote does not constitute a contract. A binding contract is formed only when we issue a booking confirmation (by email or message) containing your journey details. At that point you will typically receive your chauffeur’s name, vehicle details, and contact information ahead of the journey.
3.3 You are responsible for ensuring that all booking details — pickup address, destination, date, time, passenger numbers, luggage, flight number (where applicable), and any special requirements — are complete and accurate. We are not liable for issues arising from incorrect or incomplete information provided by you.
3.4 We reserve the right to decline or cancel any booking at our discretion, including where a vehicle is unavailable or where a request cannot reasonably be fulfilled. If we cancel a confirmed booking, any payment made for that booking will be refunded in full.
4. Prices and Quotes
4.1 We operate on a fixed-price model. The price quoted and confirmed at the time of booking is the price you pay, with no surge pricing and no hidden charges.
4.2 The quoted price covers the agreed journey as described in your booking confirmation. Additional charges may apply only where the journey changes from what was booked, including but not limited to:
- additional stops or waypoints not included in the original booking;
- extra waiting time beyond the free allowance (see Section 9);
- changes to the route, destination, or duration requested on the day;
- additional passengers or luggage exceeding the booked vehicle’s capacity;
- parking, congestion charges, tolls, or airport fees where these are not already included in the quote (we will tell you at the time of booking what is included).
4.3 Any additional charges will be calculated reasonably and communicated to you where practicable.
5. Payment
5.1 Payment may be made by [credit/debit card, bank transfer, or other methods you accept]. The accepted payment methods and timing will be confirmed at booking.
5.2 For one-off bookings, payment is due [at the time of booking / before the journey / as stated on your confirmation].
5.3 Corporate accounts: Approved business clients may be offered an account with monthly invoicing and agreed payment terms. Invoices are payable within [X] days of the invoice date. We reserve the right to suspend account services where invoices remain unpaid beyond the agreed term.
5.4 Where a payment fails or is declined, we may charge a reasonable fee to cover costs incurred, and we reserve the right to withhold or cancel the service until payment is received.
6. Changes to Your Booking
6.1 If you need to amend a confirmed booking (time, date, pickup, destination, or vehicle), please contact us as early as possible. We will accommodate changes where reasonably possible, subject to availability.
6.2 Amendments may result in a change to the price, calculated against our applicable rates. A reduction in distance or duration after booking does not necessarily reduce the agreed price.
7. Cancellations and Refunds
7.1 Cancellations must be made by [telephone / email / in writing] to be valid.
7.2 Our standard cancellation policy is as follows [confirm your actual policy before publishing]:
- Cancellation more than [24 hours] before the pickup time: no charge / full refund.
- Cancellation between [24 hours] and [3 hours] before pickup: [50%] of the fare.
- Cancellation less than [3 hours] before pickup: full fare payable.
7.3 Different cancellation terms may apply to weddings, multi-vehicle bookings, long-distance/city-to-city journeys, and corporate contracts. Any such terms will be set out at the time of booking.
7.4 Refunds, where due, will be made to the original payment method within [X] working days.
8. No-Shows
8.1 A “no-show” occurs where the passenger fails to appear at the agreed pickup location and does not cancel.
8.2 For standard pickups, a booking is treated as a no-show if the passenger does not appear within [30] minutes of the agreed pickup time. For airport and railway-station pickups, this period is [60] minutes from the agreed pickup time.
8.3 No-shows are charged at the full fare. We will always attempt to contact you before treating a booking as a no-show.
9. Waiting Time
9.1 Airport pickups: We track your flight in real time and adjust the pickup to your actual landing time. We include 60 minutes of free waiting time from the moment your flight lands, allowing for immigration and baggage collection. Your chauffeur will meet you inside the arrivals hall with a name board.
9.2 Other pickups: We include [15] minutes of free waiting time from the agreed pickup time.
9.3 Waiting time beyond the free allowance is charged at our applicable rate, which we will tell you on request.
10. Your Vehicle
10.1 Vehicle images on our website are illustrative. While we will always provide a vehicle of the class you book, we do not guarantee a specific make, model, registration, or colour unless this has been expressly agreed (for example, a specific vehicle for a wedding).
10.2 Where the booked vehicle is unavailable, we may provide a vehicle of an equivalent or higher class at no additional cost to you.
10.3 You must book a vehicle suitable for your number of passengers and luggage. We may refuse to carry passengers or luggage exceeding the safe, lawful capacity of the vehicle.
11. Passengers, Luggage and Child Seats
11.1 The number of passengers and items of luggage must be specified at booking. Excess, oversized, or unusual luggage must be declared in advance; we may be unable to carry undeclared items.
11.2 If you require child seats or booster seats, you must tell us the number and ages of children at the time of booking so we can provide appropriate restraints. The law on child restraints applies to all journeys.
11.3 The carriage of animals (other than assistance dogs, which are always welcome) must be agreed in advance.
12. Conduct in the Vehicle
12.1 For everyone’s safety, all passengers must wear seatbelts and follow the chauffeur’s reasonable safety instructions at all times.
12.2 Smoking and vaping are not permitted in any vehicle.
12.3 Consumption of food is discouraged. Alcohol may only be consumed with our prior agreement and in accordance with the law.
12.4 If a passenger soils, damages, or causes the vehicle to require valeting or repair, or renders the vehicle unavailable for subsequent bookings, you will be liable for reasonable cleaning, repair, and loss-of-use costs.
12.5 Our chauffeurs may refuse to begin or continue a journey where a passenger is abusive, threatening, unlawfully behaving, or unfit to travel, or where continuing would be unsafe or unlawful. In such cases the full fare remains payable.
13. Delays and Events Outside Our Control
13.1 We aim to arrive promptly and plan journeys with real-time traffic information. However, we are not liable for delays caused by circumstances beyond our reasonable control, including but not limited to traffic congestion, road closures, accidents, severe weather, strikes, flight or train delays, or acts of any public authority (“Force Majeure”).
13.2 Where a Force Majeure event affects your booking, we will take reasonable steps to minimise disruption and will discuss available options with you.
14. Our Liability to You
14.1 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be limited or excluded by law.
14.2 Subject to clause 14.1, we are not liable for any indirect or consequential loss, or for losses such as missed flights, missed appointments, or missed connections, arising from delays caused by events outside our reasonable control.
14.3 Subject to clause 14.1, our total liability to you in connection with any booking shall not exceed [the total price paid for that booking].
14.4 Your statutory rights as a consumer under the Consumer Rights Act 2015 and other applicable UK law are not affected by these Terms.
15. Lost Property
15.1 Please check the vehicle for personal belongings before leaving. While we will make reasonable efforts to return items left behind, we accept no liability for property lost, left, or damaged in our vehicles.
15.2 Recovered items can be reclaimed by contacting us. Reasonable costs of returning items may be charged.
16. Complaints
16.1 We take service quality seriously. If something has not met your expectations, please contact us at info@eliteexecutives.co.uk or on 01582 235959 within [a reasonable period] of your journey, and we will investigate and respond promptly.
17. Data Protection
17.1 We process your personal data in accordance with UK data protection law (the UK GDPR and the Data Protection Act 2018) and our Privacy Policy, which explains what data we collect and how we use it.
18. Changes to These Terms
18.1 We may update these Terms from time to time. The version in force at the time of your booking is the version that applies to that booking. The current version is always available on our website.
19. General
19.1 Entire agreement: These Terms, together with your booking confirmation, form the entire agreement between you and us for the relevant journey.
19.2 Severability: If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in full force.
19.3 Assignment: You may not transfer your rights or obligations under a booking to anyone else without our written consent.
19.4 No waiver: A failure or delay by us in enforcing any provision is not a waiver of our right to do so later.
20. Governing Law and Jurisdiction
20.1 These Terms and any dispute arising from them are governed by the law of England and Wales, and are subject to the exclusive jurisdiction of the courts of England and Wales.
